1. Gather Qualification Reports
- Collect finalized qualification compliance or accreditation reports from each of the 20 partner institutions.
- Ensure reports are complete, signed off, and comply with SayPro standards and templates.
2. Verify Document Format & Naming
- Confirm all reports are in the accepted digital format (PDF preferred).
- Use a consistent naming convention for files, for example:
InstitutionName_QualificationReport_YYYYMM.pdf
e.g.,SunriseCollege_QualificationReport_202507.pdf
3. Prepare Submission Package
- Create a master index (Excel or Word) listing all 20 reports with:
- Institution name
- Qualification(s) covered
- Report submission date
- Contact person
- Zip all reports into one compressed folder or upload individually as per SayPro Portal requirements.
4. Access SayPro Portal
- Log into the SayPro Portal with your credentials.
- Navigate to the Document Upload or Qualification Reports Submission section.
5. Upload Documents
- Upload each institution’s qualification report following portal instructions.
- Attach the master index document if portal allows.
- Confirm uploads were successful by checking file size and upload status.
6. Complete Metadata/Forms
- Complete any required metadata or forms for each upload, such as:
- Institution contact details
- Accreditation reference numbers
- Qualification codes and titles
- Submission declaration (if applicable)
7. Final Review & Submit
- Review the submission summary or confirmation page.
- Submit the batch for official processing.
- Download or screenshot submission confirmation for records.

- All 20 partner reports uploaded

- Metadata fully completed

- Notify partners of submission completion
