SayPro Post-Event Feedback and Reporting

Objective: To evaluate the success of the SayPro Monthly April SCSPR-81 event, employees will conduct comprehensive post-event feedback collection, perform data analysis, and develop a detailed report capturing key results and recommendations for future initiatives.


1. Feedback Collection

Purpose: Gather insights from participants, speakers, and partners on the effectiveness, relevance, and execution of the event.

Tasks:

  • Design Feedback Surveys:
    • Create customized surveys for:
      • Attendees
      • Speakers
      • Partners
      • SayPro Internal Team
    • Use online survey tools such as Google Forms, Typeform, or Microsoft Forms.
  • Survey Categories:
    • Overall satisfaction with the event
    • Usefulness of sessions and discussions
    • Quality of speaker presentations
    • Value of networking and partnership opportunities
    • Ease of access to materials (online or on-site)
    • Technical experience (for virtual attendees)
    • Suggestions for improvement
  • Distribution Plan:
    • Send surveys to all participants within 24–48 hours after the event.
    • Include a clear deadline for responses (e.g., 5–7 days post-event).
    • Offer incentives such as early access to event recordings or digital badges for completing the survey.

2. Outcome Analysis

Purpose: Measure how well the event met its objectives and track tangible outcomes.

Key Performance Indicators (KPIs):

  1. Number of Partnerships Formed:
    • Count formal and informal partnerships initiated during or as a direct result of the event.
    • Categorize by type (e.g., tech-academic, accreditation body-certification provider).
  2. New Accreditation Processes Introduced:
    • Record new proposals for accreditation frameworks or updates discussed.
    • Note which ones were adopted, are under review, or led to follow-up discussions.
  3. Participant Engagement:
    • Track attendance per session.

3. Reporting

Purpose: Summarize the findings in a clear, actionable format for internal use, external partners, and stakeholders.

Tasks:

  • Structure of the Final Report:
    1. Executive Summary
      • Brief overview of the event objectives and results.
    2. Event Highlights
      • Key sessions, speakers, announcements, and milestones.
    3. Partnership Outcomes
      • Details of collaborations initiated or expanded.
    4. Accreditation Updates
      • Proposed or adopted changes to accreditation practices or frameworks.
    5. Survey Feedback Analysis
      • Charts and insights from participant and partner feedback.
    6. Challenges and Lessons Learned
      • Technical issues, logistics, or engagement concerns encountered.
    7. Recommended Follow-Ups
      • Suggestions for next steps, such as forming advisory committees, launching new initiatives, or organizing follow-up events.
  • Format and Distribution:
    • Prepare both a full-length report and an executive summary (2–3 pages).
    • Distribute internally (SayPro departments) and externally (partners, stakeholders).
    • Publish a version on the SayPro website and in post-event newsletters.

4. Post-Event Actions

Purpose: Use insights gained to reinforce relationships and plan future engagement.

  • Thank You Communications:
    • Send personalized thank-you messages to speakers, partners, and major contributors.
    • Share a summary of key event takeaways and next steps.
  • Follow-Up on Initiatives:
    • Identify proposed collaborations or projects needing SayPro support.
