6. Document Preparation
Objective:
To ensure participants and stakeholders are well-informed and discussions are grounded in real-world context, SCSPR-71 employees are tasked with the collection, organization, and preparation of key documentation ahead of the event.
Responsibilities Include:
- Gathering System Partnership Proposals:
- Identify and compile formal partnership proposals or concept notes from internal and external sources.
- Ensure documents highlight objectives, scope, stakeholders, and intended outcomes.
- Collecting Technology Solution Briefs:
- Source technical summaries or one-pagers from technology providers, developers, or R&D teams.
- Focus on systems-related innovations such as AI integration, cloud infrastructure, system security, and data interoperability.
- Organizing Business Case Studies:
- Curate case studies that showcase successful systems implementations in sectors such as health, education, governance, and finance.
- Emphasize results, challenges overcome, scalability potential, and partnership dynamics.
- Document Structuring and Formatting:
- Standardize documents for clarity and consistency, ensuring easy use during sessions and presentations.
- Create an indexed digital folder with labeled sections for each document type.
- Pre-Session Distribution:
- Work with the SCSPR-71 coordination team to distribute relevant materials to moderators, speakers, and participants at least 3–5 days in advance.
- Provide brief annotations or summaries when necessary to support engagement.
