As the Event Manager or Strategic Partnerships Manager for SayPro Monthly January SCSPR-98, you will play a pivotal role in organizing and executing an event that will serve as a key milestone for SayPro. You will oversee all aspects of event management, from pre-event planning through to post-event evaluation, while ensuring the event aligns with SayPro’s strategic goals. This includes promoting innovation in work uniform machinery, fostering partnerships, and ensuring that the event delivers value to all stakeholders, including work uniform manufacturers, bulk machinery suppliers, and corporate buyers.
You will collaborate closely with internal teams, external partners, and key stakeholders to ensure a seamless event experience and contribute to SayPro’s broader objectives.
Key Responsibilities:
1. Event Planning and Coordination
- Develop Event Strategy: Create a comprehensive event strategy, agenda, and timeline that aligns with the strategic goals of SayPro, focusing on showcasing innovations in work uniform machinery, optimizing bulk manufacturing, and promoting sustainability.
- Target Audience Engagement: Ensure that the event caters to key stakeholders such as work uniform manufacturers, bulk machinery suppliers, and corporate buyers, ensuring the content, networking opportunities, and sessions meet their needs.
- Vendor and Venue Management: Research, select, and manage event venues and vendors, including catering, audio/visual needs, transportation, and accommodations.
- Event Logistics: Manage all logistical elements, including room setups, technology, registration systems, and event materials to ensure a smooth execution.
2. Partnership Management and Collaboration
- Strategic Partnerships: Identify and cultivate strategic partnerships with industry leaders, technology providers, and corporate buyers, ensuring their active involvement in the event (through sponsorships, speaking engagements, or participation in collaborative sessions).
- Stakeholder Communication: Serve as the primary point of contact for all event-related inquiries, maintaining clear and regular communication with internal teams, external partners, sponsors, and participants.
- Relationship Building: Foster long-term, productive relationships with external partners to support future SayPro initiatives, collaborations, and potential partnerships.
3. Content Development and Agenda Creation
- Agenda Development: Work closely with industry experts and internal teams to develop an engaging, informative event agenda that covers the latest innovations in machinery, sustainability, and work uniform manufacturing.
- Speaker and Content Management: Manage the selection of speakers, panelists, and presenters, ensuring they represent key stakeholders and bring valuable insights to the event. Coordinate speaker briefings, content guidelines, and presentations.
- Interactive Sessions: Design interactive workshops, networking opportunities, and breakout sessions that encourage knowledge sharing, collaboration, and learning among attendees.
4. Marketing and Promotion
- Event Promotion: Collaborate with the marketing team to create event materials, including email campaigns, social media promotions, website content, and event brochures to generate interest and maximize attendance.
- Brand Alignment: Ensure all event content, presentations, and activities align with SayPro’s core values, brand, and mission.
- Digital Engagement: Explore and implement virtual or hybrid event options (if applicable), using platforms to engage remote attendees and expand the event’s reach.
5. On-Site Event Management
- Event Day Oversight: Lead the on-site event operations, ensuring all aspects of the event run smoothly. Oversee registrations, troubleshoot issues, ensure the agenda is followed, and maintain attendee engagement.
- Vendor Coordination: Oversee the execution of contracts with external vendors, ensuring that all services and deliverables meet expectations.
- Staff Supervision: Manage a team of volunteers or staff members, delegating responsibilities, overseeing event flow, and ensuring that all tasks are completed in a timely manner.
6. Post-Event Evaluation and Reporting
- Feedback Collection: Lead the collection of feedback from attendees, sponsors, and partners through surveys and one-on-one interviews to gauge the event’s success and gather actionable insights.
- Post-Event Analysis: Conduct a thorough post-event evaluation to measure the event’s effectiveness in meeting strategic goals, including attendance, partnerships formed, sponsorship value, and overall satisfaction.
- Report Creation: Prepare post-event reports summarizing key metrics, lessons learned, and recommendations for future events, contributing to continuous improvement.
Key Qualifications:
- Bachelor’s Degree in Event Management, Marketing, Business Administration, or a related field (or equivalent work experience).
- 3-5 years of experience in event management, strategic partnerships, or a related field, ideally in a manufacturing or B2B environment.
- Strong understanding of the workwear and manufacturing machinery industries, with experience working with key stakeholders such as suppliers, manufacturers, and corporate buyers.
- Proven ability to manage complex projects with attention to detail and the ability to coordinate multiple tasks simultaneously.
- Excellent communication and negotiation skills, with the ability to build relationships with internal teams, external partners, and high-level stakeholders.
- Proficient in event management software, CRM tools, and Microsoft Office Suite (Excel, PowerPoint, Word). Experience with virtual event platforms a plus.
- Ability to work independently and as part of a team, managing competing priorities and meeting tight deadlines.
- Strong problem-solving abilities and the capability to anticipate issues and provide quick solutions.
