Objective:
To ensure transparency, documentation, and tracking of all GPT prompt usage and resulting outputs, contributing to the May edition of SayPro Monthly Magazine.

Frequency: Weekly (every Friday by 17:00 SAST)

📋 Instructions:
- Collect Weekly Data:
- Track all GPT prompts used that week.
- Record the number of topics extracted per prompt (target: 100).
- Note which themes were approved, rejected, or modified.
- Summarize review outcomes and department assignments.
- Use Official Log Template:
- Use the SayPro GPT Prompt Usage Log Template (Excel/PDF format).
- Ensure all columns (Prompt ID, Usage Date, Topic Count, Status, Reviewer Notes) are filled.
- Quality Check:
- Review log entries for completeness and accuracy.
- Confirm with the Editorial Quality Team if any prompt outputs were flagged for revision.
- Upload to Strategic Dashboard:
- Navigate to: SayPro Website → Editorial Tools → Strategic Dashboard → May Edition Logs
- Select “Upload Log” and attach the completed file.
- Tag the entry with the week number (e.g., “Week 1 – May 2025”) and prompt categories.
- Notify Oversight Lead:
- After upload, send an automated platform notification or email to the Strategic Partnerships Royalty Lead confirming the log is live and accessible.

✅ Completion Criteria:
- Logs must be uploaded in the correct format and by the set deadline.
- Each log should include at least:
- 3–6 GPT prompts
- 100 extracted topics per prompt
- Summary of usage and outcomes
- Confirm upload status as “Visible & Approved” on the SayPro Dashboard.
